Beedux is a cloud-based B2B approval workflow and decision-governance platform that helps companies manage approvals, requests, audit trails, roles, and decision history in one company-owned system. It routes requests, documents, and decisions — including purchase orders, invoices, quotations, AR/AP documents, procurement requests, HR requests, legal reviews, and operational approvals — through multi-step, conditional approval workflows, with full audit trail, role-based access control, decision history, and analytics built in.
Chat threads, inboxes, and tracking sheets scatter approvals across private accounts, so context, ownership, and evidence get lost. Beedux keeps each request in a workspace-owned record — with the approvers, comments, attachments, timestamps, and final decision in one place — so decisions are routed to the right people and stay easy to review later.
Beedux is built for teams across finance, procurement, HR, legal, and operations — including CFOs, controllers, procurement managers, HR leaders, legal teams, and operations directors at mid-market and larger organizations. It's ideal for any team that needs structured, auditable approvals and wants to move requests and decisions out of WhatsApp, email, or private chat threads and into a governed workflow — especially those managing multiple entities or subsidiaries.
No. Beedux is built broadly for B2B teams — finance, procurement, HR, operations, and legal — and for any team that needs decisions to stay traceable. If a request needs a yes, an owner, and a record, it fits in Beedux.
You can create an account from the Create account button and set up your workspace, organization, roles, and first approval workflow yourself. During the open soft launch, no payment information is collected while online checkout is being prepared. Prefer a hand from the team? Email [email protected]. Existing users can sign in at any time from the Sign in link.
No technical background is required. The platform is designed for finance and operations professionals — not engineers. Configuring workflows, setting up conditional routing rules, inviting team members, and managing documents is all done through a visual interface with no coding involved.

Access & Billing

Yes. During the open soft launch, workspaces can use the current platform without entering payment information while online checkout is being prepared.
No. You can create an account and start setting up your workspace right away — no waitlist. Emailing [email protected] is optional if you'd like the team to help you choose a plan or get set up. No payment information is collected — online checkout is being prepared.
Starter fits small teams starting with governed approvals. Business fits growing teams with more departments and routing needs. Professional fits larger workspaces with higher request volume and governance needs. Full limits are on the Pricing page — or create an account and invite your team to try it.
Pricing is published on the Pricing page. Online checkout is being prepared, and billing will be enabled once our Paddle setup is complete. You will never be charged without explicitly subscribing to a plan.
Not yet. Billing is being prepared through Paddle, our payment provider, and payments are not active yet. The Account page shows your workspace's plan and usage, and there is nothing to pay or cancel. For billing questions, email [email protected].

Approval Workflows

Beedux supports five document types out of the box: Accounts Payable (AP), Accounts Receivable (AR), Purchase Orders (PO), Quotations, and Procurement requests. Each type has its own routing configuration. You can set different approval rules for each document type within the same organization.
Conditional routing means the system automatically selects the correct approval workflow based on rules you define. For example: 'If this is a PO over $50,000, require three approvers including the CFO.' You set the conditions (document type, amount threshold, and requester) and the platform handles routing automatically — no manual sorting.
Sequential approvals require each approver to act in a specific order (Step 1 completes before Step 2 begins). Parallel approvals allow two or more approvers to review simultaneously — dramatically reducing cycle time. For example, your Legal team and Finance Director can both review a contract at the same time rather than waiting for one to finish before the other starts. You can mix both types within the same workflow.
Administrators and account owners can reassign a pending approval step to another eligible member directly from the document. Overdue approvals also trigger escalation reminders to the assigned approvers so decisions don't stall silently.
A workflow can have up to 50 steps, combining sequential and parallel stages. In practice, most approval processes use 2–6 steps, and longer chains are supported for high-value procurement.

Audit Trail & Compliance

Document submissions, approvals, rejections, force decisions, comments, attachment changes, holds, and reassignments are automatically recorded with a timestamp, the acting user's identity, and the organization context. Records cannot be edited or deleted from the application, even by administrators. The full history is visible on each document's timeline and in the organization activity feed, where it can be searched and filtered.
Audit and approval-history records are retained to support workspace governance and review, subject to Beedux's Privacy Policy, account status, and applicable legal requirements. If your organization has specific retention or export requirements, contact the Beedux team.
No. Beedux supports governance with workflow controls, role-based access, audit trails, and decision records, but it does not guarantee legal or regulatory compliance. Your company remains responsible for its own legal, regulatory, and internal compliance obligations.
Beedux is designed with security, auditability, and strong governance controls in mind. Formal compliance certifications, including SOC 2, will be listed here when available.
Beedux publishes public Privacy and Security information for review. For DPA requests, regional requirements, or privacy questions, contact [email protected]. Beedux supports responsible data handling, but each customer remains responsible for its own legal and regulatory obligations.

Team & Access

The platform has five built-in roles, each with distinct permissions: - Account Owner - Controls workspace governance and owner-level settings - Administrator - Manages day-to-day organization operations where permitted - Workflow Manager - Designs and manages assigned workflows where permitted, and acts on approval steps assigned to them; sees only their own and assigned requests - Auditor - Read-only access to documents, workflows, reports, and audit trail - User - Create and submit requests on assigned workflows Roles are assigned per organization, so a team member can have different access in each organization. Account Owner is assigned through account ownership and is not available in the normal invite flow.
Member limits are set by your workspace plan — up to 10 members on Starter, 50 on Business, and 200 on Professional. Organizations inside a workspace share the workspace's member limit, and each member gets their own role assignment per organization. Current limits are listed on the Pricing page.
From the Members section in your organization dashboard, click 'Invite Member' and enter their email address. Assign them a role, and they'll receive an email invitation with a secure link to join your organization. If they don't have an account, they'll be prompted to create one as part of the onboarding flow.
Yes. A single user account can be a member of multiple organizations simultaneously, each with a different role. For example, a CFO might be the Owner in their main entity, an Approver in a subsidiary, and an Auditor in a joint venture — all under the same login.

Security & Data

Your data is protected by reasonable technical and organizational safeguards: encryption in transit, encryption at rest where supported by our infrastructure providers, role-based access control so only authorized users can see specific data, and audit logging of approval activity. Formal security certifications will be listed here when available. To report a security concern, email [email protected].
Data is stored in encrypted PostgreSQL databases on our cloud infrastructure. Regional data residency options are planned — contact the Beedux team if your organization has specific data residency requirements.
The Beedux team will assist with data exports on request — contact support to export your documents, audit history, or workflow configuration. Self-service export tooling is planned for general availability.
Self-service account closure isn't available yet. Contact the Beedux team and we will deactivate your workspace and assist with a data export — your data will not be deleted without confirmation from you first.
