1. Acceptance of Terms
By accessing or using Beedux ("Service"), you agree to be bound by these Terms of Service ("Terms"). Beedux is operated by الجذور الرقمية للحلول التكنولوجية (English reference: Digital Roots for Technology Solutions), a company registered in Jordan and trading as Beedux ("Company", "we", "us", or "our"). These Terms constitute a legally binding agreement between you and the Company.
If you are entering into these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind that entity to these Terms. If you do not have such authority, or if you do not agree with these Terms, you may not use the Service.
These Terms apply to all users of the Service, including account owners, administrators, workflow managers, auditors, and users.
2. Description of Service
Beedux is a B2B approval workflow and decision-governance platform that helps companies manage approvals, requests, audit trails, roles, and decision history in one company-owned system. The Service includes:
- Document routing and approval workflow management
- Multi-step, conditional, sequential, and parallel approval chains
- Immutable audit trail generation and export
- Role-based access control (RBAC) across multiple organizations
- Analytics and reporting dashboards
- API access (planned; not enabled yet)
- Integration with third-party services (such as authentication)
Beedux is a self-service B2B SaaS product. We do not sell consulting, design, managed operations, or other human-driven services as part of the standard subscription. Standard customer support and onboarding guidance are included; we do not provide paid consulting or managed-service delivery.
We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time, with appropriate notice where commercially reasonable.
3. Accounts and Registration
3.1 Account Creation
To use the Service, you must create an account. You agree to provide accurate, current, and complete information during registration and to keep this information up to date.
3.2 Account Security
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. If you suspect unauthorized use of your account, contact us at

3.3 Workspace and Organization Accounts
The Service is billed at the workspace level, not per organization. Each workspace has one Account Owner, or an authorized workspace administrator acting on the Account Owner's behalf, who is responsible for the workspace account, any applicable billing, and compliance with these Terms. A workspace may contain one or more organizations, and those organizations share the workspace's subscription plan and usage limits. Organization-level roles, such as an organization Owner or Administrator, govern access and permissions within that organization; they do not create separate, organization-level billing unless Beedux explicitly offers that as a distinct plan or feature in the future. The workspace Account Owner may invite additional members and assign roles at the workspace and/or organization level.
3.4 Account Termination
Account and workspace closure is currently support-assisted: contact the Beedux team through the support page to request closure, and we will deactivate the account and assist with data export. We may suspend or terminate your account if we reasonably believe you have violated these Terms, with notice where legally required.
4. Roles, Permissions, and Account Owner Responsibilities
Beedux uses role-based access control (RBAC). Built-in role categories include Account Owner, Administrator, Workflow Manager, Auditor, and User, and roles may be assigned at the workspace and/or organization level depending on the area and configuration.
4.1 Account Owner
Each workspace has one Account Owner (or an authorized workspace administrator acting on the Account Owner's behalf). The Account Owner is responsible for the workspace account, member invitations, role assignments, any applicable billing, and for ensuring the workspace's use of the Service complies with these Terms.
4.2 Your Access Decisions
You are responsible for deciding which members to invite, which roles and permissions to assign, and for reviewing that access periodically. Actions taken by members within their assigned roles — including submitting, approving, or rejecting requests — are attributed to your workspace. Beedux records these actions in the audit trail but does not review or approve your internal access decisions.
4.3 Elevated Roles
Administrators and other elevated roles can view and change material parts of the workspace, including workflows, documents, settings, and members, subject to their role permissions. Assign elevated roles accordingly.
5. Soft Launch Access
The Service is currently offered as an open soft launch. Access to the Service is free of charge during this period, and no credit card or payment information is required or collected.
Features available during the soft launch may change as the Service evolves. We reserve the right to modify access terms or available features at any time with notice.
6. Billing and Payment
6.1 Plans and Pricing
Beedux offers monthly and annual subscription plans. Current plans, prices, and suggested limits are shown on the Pricing page. We may update plans, prices, and limits over time; any change applies to a subsequent billing period and not retroactively.
6.2 Online Checkout Not Active Yet
Online checkout is being prepared and is not active yet. The Service does not collect payment details, and you will not be charged until you explicitly subscribe to a paid plan and authorize payment. You can use Beedux on the free tier in the meantime.
6.3 Payment Processing and Taxes
When online checkout is enabled, payments may be processed by Paddle, which may act as Merchant of Record for the transaction and handle payment processing, tax calculation and collection, and invoicing. Taxes may apply depending on your location. Beedux does not store full payment-card details.
6.4 Refunds and Cancellation
Subscription cancellations and refunds are governed by our Refund & Cancellation Policy.
7. Plan Changes and Usage Limits
7.1 Plans and Limits
Each plan includes usage limits (such as members, workflows, or document volumes) shown on the Pricing page. Organizations inside a workspace share the workspace's subscription plan and usage limits, and plan limits are applied at the workspace level.
7.2 Upgrades and Downgrades
When online checkout is enabled, you will be able to upgrade or downgrade your workspace plan. Upgrades take effect as described at checkout. Downgrades take effect for a subsequent billing period and do not retroactively change amounts already invoiced. Downgrading may reduce available limits or features; existing data is not deleted because of a downgrade, but functionality above the lower plan's limits may become unavailable until usage fits within them.
7.3 Exceeding Limits
If your workspace's usage exceeds its plan limits, we may ask you to upgrade and may restrict the affected functionality until usage returns within plan limits. We will use reasonable efforts to notify you before applying restrictions.
8. Acceptable Use Policy
You agree not to use the Service to:
- Violate any applicable law or regulation, including financial regulations, data protection laws, or anti-money laundering requirements
- Submit false, misleading, or fraudulent documents or approval records
- Impersonate any person or organization, or misrepresent your authority within an approval chain
- Upload malicious code, viruses, or any software designed to damage or disrupt the Service
- Attempt to gain unauthorized access to any part of the Service or another user's account
- Use the Service to process documents that facilitate illegal transactions or activities
- Scrape, crawl, or extract data from the Service through automated means without authorization
- Interfere with or disrupt the integrity or performance of the Service
We reserve the right to investigate suspected violations and to suspend or terminate access without notice where necessary to protect the Service, our users, or third parties.
9. Data Ownership and License
9.1 Your Data
You retain all rights, title, and interest in and to the data, documents, and content you submit to the Service ("Customer Data"). We do not claim ownership of Customer Data.
9.2 License to Us
By submitting Customer Data, you grant us a limited, worldwide, royalty-free license to host, store, process, and display your Customer Data solely for the purpose of providing the Service to you.
9.3 Aggregated Data
We may use anonymized, aggregated data derived from your use of the Service for service improvement, benchmarking, and product development. This data will not identify you or your organization.
9.4 Data Export
Data export is currently support-assisted: contact the Beedux team through the support page and we will provide an export of your Customer Data. Upon account termination, we will make Customer Data available for export for 90 days, after which it will be deleted.
10. Support and Communications
10.1 Support
Standard customer support is included with the Service. You can reach support at

[email protected]. We aim to respond within a reasonable time; specific response-time commitments are not offered during the soft launch unless agreed in writing.
10.2 Service Communications
As part of operating the Service, we send transactional and service notifications — for example approval requests, decisions, comments, workspace invitations, and important account or policy notices. These notifications are part of the Service. Marketing communications are optional and are sent only in accordance with our Privacy Policy.
10.3 Notices to You
We may provide notices through the Service, to the email address associated with your account, or by posting on our public pages. You are responsible for keeping your account email address current.
11. Service Availability and Changes
11.1 Availability
We make commercially reasonable efforts to keep the Service available. However, the Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our reasonable control. We do not commit to a specific uptime level during the soft launch (see Section 15).
11.2 Changes to the Service
Beedux is actively developed. We may add, change, or remove features over time. Where a change materially reduces core functionality of your plan, we will provide notice where commercially reasonable.
11.3 Maintenance and Backups
We maintain production backup and restore procedures as part of operating the Service. Backups exist for operational recovery; they do not replace your own data-export practices (see Section 9.4).
12. Intellectual Property
The Service, including all software, algorithms, designs, interfaces, workflows, and documentation, is owned exclusively by the Company and protected by copyright, trademark, patent, trade secret, and other intellectual property laws.
These Terms do not grant you any right, title, or interest in the Service other than the limited right to use the Service in accordance with these Terms.
Beedux and associated product names are trademarks or brand assets of the Company, where applicable. You may not use these trademarks or brand assets without our prior written consent.
13. Confidentiality
Each party agrees to keep confidential any non-public information received from the other party that is designated as confidential or that reasonably should be understood to be confidential ("Confidential Information").
This obligation does not apply to information that: (a) is or becomes publicly known through no breach of this agreement; (b) was rightfully known before receipt from the other party; (c) is required to be disclosed by law or court order (with notice to the other party where legally permitted).
We treat all Customer Data as confidential and subject to our Privacy Policy.
14. Compliance Responsibility
Beedux provides workflow controls, audit trails, roles, notifications, and decision records that can support your internal control environment. However, using Beedux does not by itself make you or your organization compliant with any law, regulation, or industry standard.
You remain responsible for your own legal, regulatory, tax, accounting, HR, procurement, and internal policy obligations — including deciding how your approval workflows are designed, who may approve what, and whether your records meet the requirements that apply to you. Beedux does not provide legal, tax, accounting, or compliance advice.
Beedux does not currently claim formal third-party security certifications, attestations, or compliance reports. See our Security page for a plain-language summary of current security practices.
15. Disclaimer of Warranties
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR UNINTERRUPTED OPERATION.
WE DO NOT WARRANT THAT THE SERVICE WILL MEET YOUR SPECIFIC REQUIREMENTS, THAT IT WILL BE UNINTERRUPTED, TIMELY, SECURE, OR ERROR-FREE, OR THAT ANY ERRORS WILL BE CORRECTED.
We make commercially reasonable efforts to keep the Service available but do not commit to a specific uptime level during the soft launch.
16. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL THE COMPANY, ITS OFFICERS, DIRECTORS, EMPLOYEES, OR AGENTS BE LIABLE FOR:
- ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES
- LOSS OF PROFITS, REVENUE, DATA, GOODWILL, OR BUSINESS OPPORTUNITIES
- DAMAGES ARISING FROM UNAUTHORIZED ACCESS TO OR ALTERATION OF YOUR DATA
IN ANY CASE, OUR TOTAL CUMULATIVE LIABILITY TO YOU FOR CLAIMS ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNTS PAID BY YOU FOR THE SERVICE IN THE 12 MONTHS PRECEDING THE CLAIM, OR (B) USD $100.
Some local laws do not allow the exclusion of certain warranties or limitation of liability, so the above limitations may not apply to you.
17. Indemnification
You agree to indemnify, defend, and hold harmless the Company and its officers, directors, employees, agents, and licensors from and against any claims, liabilities, damages, judgments, awards, losses, costs, expenses, or fees (including reasonable attorneys' fees) arising out of or relating to:
- Your violation of these Terms
- Your use of the Service in violation of applicable law
- Any Customer Data that infringes third-party intellectual property rights or privacy rights
- Any fraud, willful misconduct, or gross negligence on your part
18. Governing Law and Disputes
Beedux is operated by الجذور الرقمية للحلول التكنولوجية (Digital Roots for Technology Solutions), a company registered in Jordan and trading as Beedux. Except where mandatory local law (including consumer-protection law) applies to you, these Terms are governed by the laws of Jordan, where the Company is established. Dispute Resolution
If you have a concern or dispute, contact us first at
[email protected] so we can try to resolve it informally. The specific venue and formal dispute-resolution procedure are being finalized and will be published; until then, nothing in this section limits any mandatory rights you have under the law applicable to you.
Class Action Waiver
To the extent permitted by applicable law, you agree that dispute-resolution proceedings will be conducted on an individual basis and not in a class or representative action.
19. Termination
Termination by You
You may request closure of your account at any time. Closure is currently support-assisted: contact the Beedux team through the support page. No fees are charged while online checkout is not active. Once paid plans are active, cancellations and refunds are governed by our Refund & Cancellation Policy.
Termination by Us
We may suspend or terminate your access to the Service with or without cause, with or without notice, including if we reasonably believe you have violated these Terms.
Effect of Termination
Upon termination: (a) all rights granted to you under these Terms cease immediately; (b) you must cease all use of the Service; (c) we will retain your data for 90 days for export purposes, then delete it in accordance with our Privacy Policy.
Sections that by their nature should survive termination (including Sections 9, 12, 13, 15, 16, 17, and 18) shall survive.
20. Changes to Terms
We reserve the right to modify these Terms at any time. When we make material changes, we will provide at least 30 days' notice via email and/or a prominent notice within the Service.
Your continued use of the Service after the effective date of the revised Terms constitutes your acceptance. If you do not agree to the revised Terms, you must stop using the Service before the effective date.
